How to Plan a Stable, Successful Online Event

How to Plan a Stable, Successful Online Event
Hello, this is Chris & Partners.😊 Due to the prolonged impact of COVID-19, it's now common knowledge that digital transformation was accelerated. Following this phenomenon, let's explore online events, which—like a rising star—became essential in many areas in a short time.
The now-irreplaceable influence of online events

COVID-19 brought many changes. In particular, much that used to happen offline—remote work/learning and more—was shifted online; unfamiliar at first, we've now adapted, and online has become part of daily life. Through this time, as the importance and necessity of online events kept rising in the MICE industry too, much interest is focused on online event planning. For example, holding an event used to require booking a suitable meeting venue and allotting participants' travel time, but online events (online conferences, webinars, etc.) can be joined without spatial constraints and can dramatically shorten time. Having experienced the advantages and convenience of digital technology, demand for online is expected to keep rising even after COVID ends.

C&P webinar, online-conference cases
1. CAC Global Summit 2020

CAC Global Summit 2020 was a Seoul Metropolitan Government event held June 1–5, 2020, alongside a meeting of 40 cities' mayors—successfully held by developing an online video-conferencing platform for the first time in Korea and the world, in step with the untact era. Run as a consortium with another company that handled the system and venue construction and operation, Chris & Partners handled the booking and management of speakers from home and abroad and the event's proceedings. Amid the trend of offline meetings shifting to online (webinars), in speaker booking—evaluated as one of the most important capabilities—Chris & Partners successfully connected a total of 156 speakers, including 86 from overseas, without incident, ensuring a smooth conference. It was an event requiring both knowledge and experience in online-meeting operation and speaker-management capability at once. 1,500 concurrent video-conference participants and a cumulative 100,000+ YouTube views were recorded, and it is remembered as a highly meaningful event that became a role model for many online meetings that followed.
2. 4th Jeonju World Slow Forum & Slow Award 2020

The Jeonju World Slow Forum & Slow Award is a Slow City international event held by Jeonju City on September 18, 2020, under the slogan ‘The World Asks, Jeonju Answers’ and the theme ‘Happiness and a Green City.’ What made it special was that, unlike other meetings held in dedicated studios, it took place in the lobby of Jeonju City Hall. Chris & Partners built a stage against the backdrop of the bookshelf-pillar library at Jeonju City Hall, reminiscent of a book café, and accordingly, for the Secretary-General of Cittaslow International in Italy and the Mayor of Freiburg, Germany—both unable to attend in person due to COVID-19—built systems for online-meeting connections. To run the meeting smoothly, we prepared advance technical rehearsals and pre-recorded overseas speakers' case presentations, bringing the 4th Jeonju World Slow Forum & Slow Award to a successful close.
3. Embassy of Colombia Cycling Event Webinar & Race

This event was the first planned by ProColombia to promote Colombia's outstanding cycling routes and famous tourist spots to cyclists worldwide, and Chris & Partners was involved from the planning stage. Nairo Quintana—a Colombian Tour de France winner—staged a virtual race with actual participants, drawing an enthusiastic response from cyclists at home and abroad. Operating the website and social media with Chris & Partners, we successfully completed the webinar and virtual race, and in under two months drew strong interest—300 event applicants and 699 social followers. Focusing on effective digital marketing and close communication with participants, as a result about 200 cyclists from some 10 countries attended—a success. Reading today's post, did you feel again that online events have become a domain we can't leave out of our lives? Experts say, ‘An unexpected variable like COVID-19 is drawing out an even faster pace of social change.’ We hope you use continually advancing online platforms well and seize the flow of change as an opportunity to hold successful online events. 🙏
