Chris & Partners' event-planning highlights
In the COVID-19 situation, the most important parts of webinar planning are the safety of speakers attending on-site, providing an environment suited to presentations and discussions, and smooth communication between the site and overseas speakers connecting online.
Chris & Partners handled everything from webinar planning to construction and speaker management, successfully running the webinar.
1. On-site quarantine
Although it ran as a webinar, the most worrying part is the safety of staff and participants visiting the site to run the event. Chris & Partners paid attention to ensuring thorough quarantine to run a safe event.
Through installing a quarantine desk before entering the venue—visitor QR-code verification, thermal-imaging temperature checks, microphone sterilization, installing acrylic partitions on the on-site stage, and more—we ran a safe event where all staff and participants visiting the site could feel at ease.
Also, by installing hand sanitizer throughout the site and distributing personal hygiene kits to the on-site cast, we took meticulous care down to the smallest details.
2. Space construction
We considered constructing a stage composition and screen most optimized for speakers' presentations and discussions on-site. We paid attention to the screen-layout composition so participants watching on YouTube could smoothly view presentations and discussions. Also, we created a distinctive atmosphere by varying the LED design to match the two sessions.
3. Operation
Due to the COVID-19 situation, as the connecting countries of overseas speakers who couldn't visit the site differ, the connection environment acts as a critical issue. Chris & Partners prepares the smoothest on-site operation through technical rehearsals of audio, screen, and more in advance.
We could run it on-site without dropouts from technical issues—creating a relaxed atmosphere for the speakers as if they were on-site, even though they attended online.
