Running a Results Briefing, Awards Ceremony and Livestream as One Event

Running a Results Briefing, Awards Ceremony and Livestream as One Event

When one event combines results presentations, an awards ceremony and an online livestream, settle the winners' routes and the broadcast screens before the running order. Plan stage, seating and cameras separately and the winners' path narrows, or what the room sees never reaches the online screen.

If you run results briefings or award ceremonies for a public R&D programme, association or company, work through the questions below before asking venues for quotes. They draw on two events Chris & Partners ran for Korea's inter-ministry medical device R&D programme.

What Chris & Partners did for the medical device R&D programme

The 2025 Top-10 Flagship Projects Report took place at YTN Newsquare on 11 February 2025 with around 100 attendees. It was hosted and organised by the Korea Medical Device Development Fund and YTN, with support from the Ministry of Science and ICT, the Ministry of Trade, Industry and Energy, the Ministry of Health and Welfare and the Ministry of Food and Drug Safety. Chris & Partners handled the in-person event and YouTube broadcast: venue set-up, the main awards programme and the YouTube livestream. (View the project)

The same programme's 2025 Medical Device R&D Awards took place at Lotte Hotel Seoul on 22 December 2025, honouring 30 researchers, with more than 120 attendees. Chris & Partners planned and ran the event, from stage and space design and the ceremony itself to the results exhibition, networking space and VIP protocol. (Awards project)

The questions below are general suggestions for a new event. They do not reproduce either event's cue sheet or staffing plan.

1. Draw seating, cameras and winners' routes on one plan

From each winner's seat, draw wait → walk up → receive → photo → exit on a single plan. Check stage steps, aisle widths, crew positions and audience sightlines on site. If several people receive together, fix their order and which way certificates are handed over.

Walk the routes during rehearsal and check them against the stage size and accessibility needs.

2. Put names, screens, microphones and photos in one award sheet

Manage category, winner's name and title, presenter, how certificates or trophies are handed over and the photo position in one sheet. Check that the MC script, on-screen captions and certificates use the same source, and have one person pass every change to all teams. Note any proxy recipients there too.

Add these to the running order:

  • the cue that ends each photo and when winners are guided off
  • when the next category's winners move to their waiting position
  • presenter changes and group-photo time

If presenters and winners can't all attend rehearsal, use stand-ins to check routes and handover order, and send the people involved a short briefing note.

3. Check the room view and the livestream view separately

People in the room see the whole stage; online viewers see only the chosen camera and screen. List and check every screen you will broadcast: presentation slides, winner captions, holding screen, opening and closing screens.

  • Agree venue internet, audio feed and streaming account access in advance
  • Confirm whether and in what format a recording is delivered
  • Confirm which slides can be shown publicly online

4. For public programmes, fix naming and protocol first

When several ministries support an event, the order of organisation names, guest introductions and speeches all need sign-off. Confirm naming rules with the host before anything is printed.

Five things to send your agency

  1. Purpose and draft programme: [results talks / awards / exhibition / networking]
  2. Award scale: [categories / number of winners / how awards are presented]
  3. Date and venue status: [confirmed / shortlisted / open, floor plan and access times]
  4. Online scope: [livestream / recording / closed, broadcast channel]
  5. Scope: [planning / stage and production / broadcast / on-site operations]

Frequently asked questions

What should we check first at an awards rehearsal?

Winners' routes on and off stage and the photo position. Walk them to check steps, aisles and sightlines, and align the photo cue with when the next winners move into place.

What if the winners list changes late?

Keep the MC script, on-screen captions and certificates in one confirmed version, and agree in advance that one person passes changes to every team.

What does a YouTube livestream need?

Venue internet and audio feed, streaming account access, and a list of broadcast screens (captions, holding, opening and closing). Confirm in advance which materials can be shown publicly.

Can a small venue hold a results briefing and awards together?

It depends on the venue. Secure winners' routes and camera positions first, then check on the site visit how lighting, screens and layout will change between programmes.
