The brief

Polygon Labs set out to host its largest APAC event of 2024 — a two-day summit in Bangkok built around the "aggregation" thesis. The ambition was unusual: not a single-track conference, but a sprawling festival of 50+ concurrent programs — seminars, panels, pitch sessions, partner booths, DJ sets, a chess tournament, a running club, yoga, and massage — for a crowd of 1,000+. Chris & Partners was engaged as Polygon's APAC offline event agency to build and run it end to end.

The challenge

Fifty-plus programs running in parallel is an operational problem of a different order than a normal conference. Every track competes for attention, space, and crew; a single scheduling clash or a stage that runs late cascades across the whole site. Add a venue in a market where the client has no local team, an international audience, and a two-day runtime, and the margin for error narrows fast. The summit's success depended less on any single headline moment than on dozens of moving parts landing at once, all day, both days.

Our approach

Full-stack construction and operation. As Polygon's APAC offline event agency, we managed every stage from preparation through on-site execution — owning the build and the run, not just the plan.

Programming at scale. We orchestrated the 50+ concurrent programs into a coherent two-day experience, balancing serious content (seminars, panels, pitch sessions) with the culture and community elements (DJ performances, chess, running club, yoga, massage) that made the summit feel like a festival rather than a schedule.

Anticipate, don't react. With this many parallel tracks, the difference between chaos and calm is preparation. We mapped foreseeable operational issues in advance and built around them, so that on the day the complexity was invisible to attendees.

The result

Chris & Partners delivered Polygon's largest APAC event of 2024 — 1,000+ guests across 50+ programs over two days — to a successful close, with high participant satisfaction achieved through meticulous planning and detail management. The complex, multi-track program ran seamlessly precisely because the foreseeable problems had been prevented before the doors opened.
